Information we collect

Depending on how you contact or work with us, we may collect:

• your name, organisation, job role, work email address, telephone number and contact preferences;
• project details, site location, access requirements, programme, tender reference, procurement stage and any information included in your enquiry;
• records needed to quote for, plan, deliver and administer our services, including correspondence, contracts, invoices and project records;
• requests for insurance, accreditation, safety, competence or other contractor information;
• limited technical information needed to operate and secure this website, including your cookie preference; and
• if you allow Google Analytics when it becomes active, information about how the website is used, such as pages visited, interactions, referring source and general device, browser and location information.

We normally receive this information directly from you. We may also receive business contact or project information from your organisation, a principal contractor, procurement portal, professional adviser, project partner or publicly available business source.

Why we use your information

Where we rely on legitimate interests, we consider the need to use the information against your rights and reasonable expectations. We do not currently use personal information from this website for automated decision-making or profiling.

Marketing

We do not use information submitted through the website enquiry form to send promotional messages. If we introduce email, text or telephone marketing, we will provide a separate and clear choice where consent is required and will always provide an appropriate way to opt out. Service messages about an enquiry, quotation, project or existing client relationship are not marketing.

Who we share information with

We only share personal information where it is necessary and proportionate, with:

• trusted website hosting, IT, communications and business administration suppliers;
• Google, if Google Analytics becomes active and you have chosen to allow analytics;
• clients, principal contractors, subcontractors or project partners where needed to plan and deliver work;
• professional advisers, insurers, auditors and certification bodies; and
• regulators, law enforcement or public authorities where the law requires it.

Our suppliers may only use information for the service they provide to us and must protect it appropriately. We do not sell personal information.

International transfers

Some technology suppliers may process information outside the United Kingdom. Where this happens, we require an approved transfer safeguard or another lawful basis for the transfer, together with appropriate security measures.

How we protect information

We use appropriate organisational and technical measures to protect personal information against accidental loss, misuse, unauthorised access, alteration or disclosure. Access is limited to people and suppliers who need the information for their role or service. No internet or email system can be guaranteed completely secure, so please avoid sending sensitive information through the general enquiry form.

How long we keep information

We keep personal information only for as long as it is needed for its purpose:

• enquiries that do not become projects are normally kept for up to 24 months after the last meaningful contact;
• client, project, financial and contract records are normally kept for seven years after the relevant project or relationship ends;
• standalone contractor-information requests are normally kept for up to 24 months, unless they form part of a client or project record;
• the website cookie-preference record expires after six months; and
• data-protection complaint records are kept for as long as reasonably necessary to investigate the complaint, communicate the outcome and meet legal or regulatory obligations.

We may keep information for longer where law, an insurance requirement, a contractual obligation, a complaint or a legal claim requires it.

Your rights

Depending on the circumstances, you can ask us for access to your information, request correction or deletion, restrict its use, object to processing, or ask for information you supplied to be transferred. Where we rely on consent, you can withdraw it at any time without affecting earlier lawful use.

Data-protection complaints

If you believe we have not handled your personal information properly, email nigel@njservices.co.uk with the subject “Data protection complaint”, or write to our correspondence address above. Please explain what happened, the information involved and what you would like us to do.

We will acknowledge your complaint within 30 days. We will make appropriate enquiries, keep you informed where an investigation is continuing, and communicate the outcome without undue delay.

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator. You do not have to complete our complaints process before contacting the ICO:
